Make every photograph and observation traceable to a tank and viewing position. An unlabelled clean surface cannot tell the next team what was treated or what remained hidden.
Photographs are useful when they have a vessel reference and a recognisable viewing position. The written note should also identify inaccessible areas and changes agreed during the visit.
Tie observations and exceptions to recognisable areas
A usable record identifies the vessel, treated surfaces, removed material and any part that remained inaccessible. Photographs or notes use marked locations. Tank cleaning completion records support inspection, maintenance or production checks without claiming that the contractor approved those later decisions.
Assign each exception to the person who decides it
List inaccessible areas, residue left in place and any visible concern. Give each follow-up to the site, inspector or maintenance owner responsible for deciding it.
Do not merge a cleaning note with gas testing, structural inspection or product release. Attach those separate records only when the responsible party has supplied them.
